Clear cancellation and refund terms for monthly and annual OmniRef business subscriptions.

Last updated: · UK business customers

1. Cancel at any time

You can cancel your subscription at any time through the Stripe Billing Portal. Open Billing & Subscription, choose “Manage billing & seats”, then cancel the relevant subscription and complete the confirmation.

Solo users manage their own subscription. The authorised company billing owner manages an Enterprise Fleet subscription. Retain the portal confirmation and check the cancellation status and end date in the app.

2. Cancellation takes effect at cycle end

Cancellation stops the next renewal and takes effect at the end of your current paid billing cycle. For monthly subscriptions, this is the end of the current monthly period. For annual subscriptions, this is the end of the current annual period, not the end of the calendar year.

Paid feature access continues until the paid period ends, subject to the Terms of Service. Cancelling does not immediately terminate an already-paid period. Cancellation is not confirmed merely by closing the app, deleting it from a device or stopping use.

3. No partial-period refunds

Subscription fees are not refundable for unused portions of monthly or annual billing periods. We do not provide pro-rata refunds or credits solely because you cancel part-way through a period, reduce usage, stop using the service or no longer need subscribed seats.

This policy applies to business subscriptions. It does not exclude remedies for incorrect charges, breach or other circumstances where applicable law requires a refund or remedy. Any separately agreed written commercial arrangement takes precedence over conflicting wording here.

4. Your card-free trial

The 14-day signup trial requires no card upfront. If you have not purchased a paid subscription, no subscription charge is due solely because the signup trial ends. Checkout activates the selected paid subscription and does not start a second free trial.

When trial or paid access ends without an eligible subscription, core operational features may be locked. Existing locally saved evidence and background synchronisation are retained; device-only audio still requires you to retain and protect the original device.

5. Seats, upgrades & annual switches

Seat additions and eligible upgrades or monthly-to-annual switches can take effect immediately and may be charged on a prorated basis. Review the confirmation in the billing portal before authorising a change.

Seat reductions and eligible downgrades take effect at the applicable renewal, including annual renewal for an annual subscription. A scheduled seat reduction is not a refund for unused seats in the current period. Your portal confirmation shows the effective date and amounts.

6. Billing errors & records

Check invoices and your active period in Billing & Subscription. If you believe a charge is incorrect, retain the invoice reference, date and amount for review by the supplier. Do not send full card numbers or security codes.

The supplier’s billing contact must be added before this becomes a final policy. Cancellation is separate from deletion of personal data: see the Privacy Policy. Export needed records before clearing device storage; statutory evidence-retention obligations may continue after cancellation.
